Context
An owner had accounting data but no usable visibility into where money was actually going.
Financial close took 30 days as staff gathered data from multiple sources, classified transactions, and reconciled across systems.
Financial decisions were reactive rather than planned. The owner couldn't see spending patterns, trends, or issues until a month after they occurred, far too late to take corrective action.
Constraint
Books were technically correct but the data was scattered across systems and required 40+ hours of manual work each month to gather, classify, and present in a usable format.
The data structure didn't match how the owner thought about the business, making it hard to understand where money was actually going.
Design Decision
The general ledger and reporting structure were reorganized so financial data aligned with how the owner actually thinks about the business.
Real-time visibility was built so spending data is automatically classified and available the next day instead of waiting 30 days for manual compilation.
Outcome
The owner gained real-time clarity into spending patterns instead of waiting 30 days. Financial close now takes 1 day instead of 30, eliminating 40+ hours of manual data gathering and classification per month (480 hours annually).
Financial conversations are faster because the owner has current data immediately. The owner can identify spending issues and train teams to fix them as they happen, not a month later.
The owner can now plan spending with confidence based on actual data instead of reactive guesswork.
