Lead Response

Context

Leads and scheduling were handled manually. Lead intake came through multiple channels (phone, email, forms).

Response time varied from hours to days. Agreements weren't collected upfront, leading to no-shows.

Managers and teams had no visibility into scheduled work. Opportunities were being lost because response wasn't immediate, competitors were reaching out first.

Constraint

Growth increased volume but not capacity. Manual processes couldn't keep up with incoming leads, and each response required coordination across multiple people and systems.

Peak periods created bottlenecks where leads sat in queues waiting for response.

Design Decision

Automated workflows were created covering lead intake across all channels, instant response to leads with relevant information, proposal delivery, scheduling with calendar sync, agreement collection with electronic signature, deposit collection upfront, and automated reminders to teams and clients.

Outcome

Leads are contacted instantly instead of hours or days later. The company now closes 10% more deals by being first to respond instead of second.

Service agreements are collected upfront and signed electronically, eliminating no-shows. Deposits are collected automatically, reducing payment friction.

This translates to approximately 5-8 additional clients per month at $800 each,
generating $48,000-$76,800 in additional annual revenue.

Managers can view all scheduled work on shared calendars and plan coverage accordingly. Teams are automatically reminded of commitments, and clients receive instant confirmations, no more miscommunication. This translates to approximately 5-8 additional clients per year at $800 each, generating $4,000-$6,400 in additional annual revenue.
